0. Prerequisites
Created cPanel user;
A domain already added to the hosting account (so you can create addresses like [email protected]).
1. Creating a new email account in cPanel
In your cPanel, open "Email Accounts" under the "Email" section:
Here you will see a list of the created email accounts. By default, cPanel creates one system email account.
Click "Create":
Next, enter username and set a password. In cPanel, you can generate a secure password automatically. So I you want strong password, we recommend you to click "Generate".
You can also adjust optional settings, like storage space and automatic folder creation. For this, click on "Edit Settings" next to the "Optional Settings":
Here, you can choose a size limit you actually want to enforce. Please note, if you choose "Unlimited" you’re trusting the server disk limits instead of mailbox limits. That can bite later.
You can also choose whether you want to automatically create folders for Plus Addressing or not. These settings control whether the mail server automatically makes mail folders for you when new mail arrives at an address or pattern it has not seen before. Choose this if you actively use plus tags and want emails sorted automatically. It works well for personal inboxes. Avoid it if you receive spam or want fewer folders.
Once you ready, click "Create".
2. Using the created email account
2.1 Using email with Roundcube
If you want to check email via Webmail, you can use Roundcube that is integrated into cPanel. Roundcube is a webmail application that runs in your browser. You can read and send email without installing any software.
To use it, open "Email Accounts" under the "Email" section. Then, next to your email account, click "Check Email":
Next, click "Open":
You will see the Roundcube interface:
It lets you read and send emails, reply and forward messages, manage folders, and search your mailbox. It is ideal for quick access from any computer.
Use Roundcube when you want simplicity, speed, and access to your email from anywhere without setting up a mail app.
2.2 Using email with apps (Thunderbird, Outlook, and others)
Email apps are installed on your computer or phone and connect to your mailbox in the background. Once set up, your email syncs automatically and is available even when you are offline.
You can follow our detailed guide to configure email in your mail app.
This works best for Thunderbird, Outlook, Apple Mail, and Windows Mail.
3. Managing email account in cPanel
You can anytime change the email account settings, such as password, storage limit, restrictions and plus addressing. To manage your email settings, open "Email Accounts" under the "Email" section. Then, click "Manage" next to your email account:
3.1 Changing an email password
Here you can change password. Type it manually or use generator to specify new password.
Then, scroll down and click "Update Email Settings" to apply changes:
3.2 Setting and managing quotas (mailbox size limits)
You can adjust the mailbox size limit in the "Storage" section, the same way you do when creating the email account.
3.3 Setting restrictions:
These options let you control whether an email account can receive messages, send emails, or be accessed. They’re typically used to temporarily disable an account, prevent misuse, or troubleshoot problems without removing the mailbox.
Receiving Incoming Mail
• Allow
The mailbox can receive emails normally.
• Suspend
Incoming emails are blocked. Messages sent to this address will not be delivered to the mailbox. Useful if the account is temporarily inactive or receiving spam.
Sending Outgoing Email
• Allow
The mailbox can send emails normally.
• Suspend
The mailbox cannot send emails at all. Incoming mail may still work if allowed. Often used if the account is suspected of sending spam.
• Hold
Outgoing emails are queued but not delivered. Once you switch back to Allow, the held emails may be released. This is useful for short-term investigations or rate limiting without losing messages.
Logging In
• Allow
The user can log in via webmail, email clients, and other services.
• Suspend
Login access is blocked. The mailbox still exists, but the user cannot access it. Can be used for security purposes.
3.4 Managing plus addressing:
You can enable or disable plus addressing feature that we described in the 1 step.
